File Audit and Inspection Review

You have been directed to this page because your property has been notified by email of an upcoming inspection.  Details of the date and time of your inspection are located within your email notification.  Please follow these steps to ensure compliance with the DCA Audit and Inspection Process:
 

PRELIMINARY AUDIT STAGE

STEP 1:

Review the Notice of Audit and Inspection form to understand the file audit and inspection process

STEP 2:

Review the Preliminary Audit Checklist to assist you in gathering all applicable documents via the links provided within the checklist. Submit all required forms by the deadline

STEP 3:

Review the Inspection Timeline to ensure you are aware of all due dates

STEP 4:

Upload all preliminary audit submission to the Emphasys certification portal using the Preliminary Audit Submission Cover Page

Failure to complete all applicable documents will result in your documents being refused until all documents are submitted in their entirety.

NOTIFICATION OF UNITS SELECTED STAGE

STEP 5:

Receive notice of the files to be inspected on your property.  Prepare and submit tenant files for an onsite review or for electronic submission to the Emphasys Certification Portal using the unit number and last name for the name of the file. Ex: Unit 1201, Doe

STEP 6:

Receive notice of the units to be inspected on your property.  Pull keys and have a member of upper management available to accompany the DCA inspector on the property inspection and to sign the Notice of Health and Safety violation (as needed). Comply with CDC COVID-19 guidelines and DCA COVID-19 Physical Inspection protocol

CLOSE-OUT STAGE

STEP 7:

Submit the cures and work orders for the Notice of Health and Safety violation(s) within 24/48/72 hours of the date of the Notice of Deficiency letter. All items must be completed in the timeframe listed for each violation. 

STEP 8:

Receive the Notice of Deficiencies findings letter.  Begin to cure findings

STEP 9:

Prepare and submit cures for all findings to DCA within 45 days of the Property Inspection

 

**Please note: DCA may elect to conduct follow-up inspections under certain conditions. If it is deemed necessary to complete a re-inspection, fees may apply as outlined here
